The Assistant to the Director of the Language Center provides office management assistance. Assists with room scheduling in the Language Center, compiles information for use in Director’s reports, supervises student workers, manages the workspace, helps with Language Center-related events, and carries out several IT-related responsibilities.

Position works 18 hours/week during the academic term with 10 hours of work per week pre and post academic terms. There are three academic terms per year, from mid-September through mid-June annually. Some flexibility with hours per day, example: 1:00pm to 5:30pm, Monday through Thursday during the academic terms. Working hours schedule is negotiable at time of hire. This is a part-time, .29 FTE, non-benefit eligible position.

Essential Job Functions - Responsibilities
● Schedules rooms, meetings, and events in the Language and Dining Center using EMS software, and Google Calendar for within the Language Center.
● Provides data on room utilization to the Director in preparation of annual reports.
● Coordinates use of special equipment needed for class projects and classroom use.
● Plans workflow for each term, processes departmental invoices for payment, communicates calendar information and other projects as assigned.
● Provides overall office management, assuring proper communication with Director and Student Workers. Schedules, attends, and participates in departmental meetings. Follows up on pertinent issues as requested.
● Trains and supervises student workers in office procedures, conduct performance reviews and approves student web time entry sheets.
● Co-coordinates language-related contests and events per term.
● Organizes and acts as proctor for language tests
● Maintains the Language Center’s resource inventory and supplies, and contacts appropriate vendors for supplies and repairs if needed.
● Assists Director in maintaining the Language Center’s web pages and social media channels (WordPress, Facebook, Instagram).
● Uses WebCheckout to maintain the Language Center as a check-out center; attends training sessions as required.

Additional Responsibilities

Additional Job Responsibilities:
● Anticipates need for, plans, and designs the Language Center publicity and advertising.
● Initiates contact with appropriate offices to coordinate building needs such as security sweeps, unlocked status of classrooms and labs, special cleaning and maintenance repairs.
● Assists with both External and Internal Review Processes of the Language Center.

Required Qualifications
Two years of previous office support experience required.

The successful candidate will have excellent communication and organizational skills. Must be able to manage and complete multiple projects in a timely fashion, often working with a wide variety of multicultural people. Candidate must possess a high degree of knowledge in word processing, excel-style sheets, and computer knowledge in both Macintosh and PC environments. Must be able to work both independently, as well as within a team environment on creative projects for Language Center advertising and events.

Preferred Qualifications
Previous supervisory experience, a second (or more) language(s), and desktop publication/editing, online publishing, (ex. Canva) and/or website editing (WordPress) experience is preferred.
