Position Overview:

The purpose of the Temporary Human Resources Assistant is to support recruitment activities and general Human Resources functions during the implementation of a new Enterprise Management System. This is a temporary, full-time, benefit eligible position. It is a great opportunity for someone who is interested in learning about Human Resources in higher education as responsibilities provide exposure to multiple functional areas within Human Resources.

Upon successful completion of the assignment, the incumbent will be considered an internal candidate if they chose to apply for open positions at Carleton.

Essential Job Functions - Responsibilities:

Support the recruitment/staffing and employment related duties as assigned. To include but not limited to:

  • Prepare and electronically post positions.
  • Data entry for new and existing employees.
  • Communicate, electronically and by phone, with applicants during all stages of the recruitment process.
  • Assist with interviewing as needed.
  • Prepare offer letters and position change letters.
  • Assist with background check process.
  • Assist with the completion of required paperwork (I-9's, W-4's, etc.) and change forms for College employees.
  • Provide support to the hiring managers or search committee members during the recruitment process (enter advertising, schedule interviews, develop interview schedules with hiring managers, access to applicant tracking system).

Work collaboratively with the Employment Coordinator to complete with tasks from various HR functions:

  • Assist with training and development:
    • Coordinate campus wide trainings.
    • Conduct staff training/development needs assessment.
    • Track training in various systems.
  • Varied Projects.
  • Varied Administrative Tasks:
    • Update and maintain various employment forms.
    • Data entry as requested.
    • Document retention project coordination.
    • Web-page maintenance.

Act as backup to Human Resources Coordinator and Benefits Coordinator, with general front desk reception as needed.

Additional Job Responsibilities:

  • Support all members of Human Resources team as requested.
  • Other duties and responsibilities as assigned.

Supervision Received and Exercised:

This position does not supervise any other position(s) and reports to the Director, Human Resources.

Required Qualifications:

  • Post-secondary education with 2 or more years of employment recruitment experience.
  • Proficient computer skills, especially in the areas of: integrated databases and HRIS, word processing, spreadsheets, and online applicant sourcing skills.
  • Excellent customer service and interpersonal skills, including demonstrated success at establishing rapport and maintaining effective, clear and concise communication with employees, students, and external constituents.
  • Working knowledge of federal and state employment laws and reporting requirements.
  • Good writing skills.
  • Ability to work collaboratively in a team.

Preferred Qualifications:

  • Bachelor’s degree in a related discipline.
  • Experience working in a Human Resources setting.

Salary and Benefits:

This is a non-exempt level position. The selected finalist’s salary will be based on the candidate’s qualifications, internal pay structure, and our overall compensation package.
