Position Overview:

The purpose of the Assistant Director of Campus Services position is to manage Campus Services’ operations related to all printing and duplication services, mail services, fleet services and student transportation services. Management and leadership responsibilities includes but are not limited to: the hiring and supervision of assigned staff (2.5 permanent FTE, and approximately 60 student workers); assisting the Director of Campus Services with the oversight of all related budgets, identification of cost saving measures; project management; review of hardware and software systems; design and maintenance of department websites; development and review of business practices, policies and procedures.

Essential Job Functions - Responsibilities:

  • Mail Services:
    • Manage the day-to-day operations and assist with fiscal management for all incoming mail, and small parcels including inter-college mail service between Carleton and St. Olaf Colleges, out-going mail and small parcel processing.
    • Maintain relationship with United States Postal Service (USPS) and other couriers.
    • Promote compliance to USPS policies and standards to ensure eligibility for the College’s non-profit postal permits.
    • Serve as a backup for the Mail Services Coordinator to provide the campus and local community with mailing and shipping services.
    • Supervise, train, evaluate and mentor Mail Services Coordinator to provide effective support for mail operations.
  • Print Services:
    • Manage the day-to-day operations and assist with the fiscal management of a centralized print and duplication shop that serves the College and outside clients.
    • Collaborate with ITS (Information Technology Services) to provide regular billing for print and copy volume produced on a fleet of multi-function printers and networked printers.
    • Maintain central storeroom for printer consumables for College offices.
    • Serve as a backup for the Duplicating Coordinators to provide the campus and local community with duplication and print services.
    • Supervise, train, evaluate and mentor Duplicating Coordinators to provide effective support for print operations.
  • Info Desk and Transportation Services:
    • Manage the day-to-day operations and assist with fiscal management for the information desk in Sayles-Hill and Transportation Services.
    • Provide general assistance and campus information to students, faculty, staff and the general public.
    • Monitor transportation services available to students, faculty and staff traveling within Northfield and regionally.
    • This includes being the first point of customer contact for student transportation services; assisting in the development and implementation of new options; meeting regularly with transportation service providers to build relationships that will benefit Carleton College; and maintaining Transportation Services web pages.
    • Manage and maintain campus electric vehicle (EV) charging stations.
    • Develop plans to expand current EV charging infrastructure as community demand increases
  • Campus Services (OneCard Production/Fleet Services):
    • Assist the Director of Campus Services with maintaining continuity amongst Campus Services individual units – Door Access, Fleet Services, Information Desk, Mail Services, OneCard, Print Services, Transportation Services – with regards to project management, policies, procedures, and communication.
    • Maintain and assist with maintenance of Campus Services’ websites and general communications to the campus community.
    • Partner with Fleet Vehicle Services Manager to provide backup for the fleet vehicle reservation process including the vehicle key check out process.

May be required to perform other job-related duties as assigned by Supervisor. All responsibilities and requirements may be subject to change over time.

Required Qualifications:

  • Bachelor's degree in Business or related field; 5 years of on hand experience with Windows based business and computer applications.
  • Demonstration of strong verbal and written communication skills.
  • Familiarity with basic website maintenance.
  • Experience managing professional staff.
  • Demonstrated problem solving and decision-making skills.
  • Ability to handle packages weighing in excess of 50 pounds verified by pre-employment physical exam (paid for by the College) are required.
  • A valid driver's license.

Preferred Qualifications:

Training/certification/experience related to USPS, Fed Ex, and mailing operations. Training/ certification/ experience relating to production printing. Training/ certification/ experience relating to fleet management. Work experience reflecting a demonstrated service orientation. Interest in mentoring and supervising student staff
